Dispute Resolution Process
At Muslim Nikah Service CIC, we are committed to providing high-quality, professional, and faith-centred services. If a concern, complaint, or dispute arises, we encourage all parties to engage in a fair, respectful, and constructive resolution process.
Step 1: Informal Resolution
We encourage clients to raise any concerns directly with us as soon as possible. Many issues can be resolved quickly through open communication and clarification.
Clients should contact us in writing via email or by telephone, providing:
- Their full name and contact details
- Details of the service provided
- A clear description of the concern or complaint
- Any relevant supporting information
We aim to acknowledge all complaints within 5 working days.
Step 2: Formal Complaint Review
If the matter cannot be resolved informally, a formal review will be conducted by an authorised representative of Muslim Nikah Service CIC who was not directly involved in the matter where possible.
The review process may include:
- Examination of relevant records and correspondence
- Discussion with the parties involved
- Consideration of any evidence provided
- Assessment of whether policies, procedures, or service standards were followed
A written response will normally be provided within 20 working days of receiving the formal complaint.
Step 3: Mediation
Where a dispute remains unresolved, both parties may agree to participate in an independent mediation process.
Mediation is a voluntary and confidential process designed to help parties reach a mutually acceptable outcome without the need for legal action.
Unless otherwise agreed, each party will be responsible for its own costs associated with mediation.
Step 4: Escalation
If mediation does not resolve the dispute, either party may seek independent legal advice or pursue any rights available under applicable UK law.
Nothing in this policy prevents either party from exercising their legal rights where appropriate.
Faith-Based Resolution
Where suitable and agreed by all parties, disputes relating to Islamic aspects of Nikah services may also be referred to a suitably qualified and impartial Islamic scholar or advisory panel for non-binding guidance. Such guidance will not replace any statutory legal rights.
Service Standards and Conduct
All parties involved in the dispute resolution process are expected to:
- Communicate respectfully and professionally
- Provide accurate and truthful information
- Cooperate with reasonable requests for clarification
- Maintain confidentiality wherever possible
Abusive, threatening, discriminatory, or inappropriate behaviour towards staff, volunteers, facilitators, scholars, or service users may result in services being suspended or terminated.
Record Keeping
A record of complaints and dispute outcomes will be maintained securely in accordance with applicable data protection requirements and organisational policies.
Continuous Improvement
We view complaints and feedback as opportunities to learn and improve. Information gathered through the dispute resolution process may be used to review and enhance our services, policies, training, and customer experience.
A dispute resolution process is an important addition to our Terms, Conditions, and Service Policy. It demonstrates fairness, transparency, and a commitment to resolving concerns constructively.

All mediation conducted or facilitated through Muslim Nikah Service CIC will aim to be:

- Consistent with Islamic ethical values and UK legal requirements
Matters Not Suitable for Mediation
Mediation may not be appropriate where there are concerns relating to:
- Domestic abuse or coercive behaviour
- Safeguarding concerns involving children or vulnerable adults
- Criminal activity
- Serious threats, harassment, or intimidation
- Situations requiring immediate legal intervention
In such circumstances, appropriate safeguarding, legal, or statutory procedures will take precedence.
